Terms & Conditions
1. About Us
Black Pearl Auto Pros Ltd (trading as Black Pearl Auto Pros / Black Pearl Detailing) (“we”, “us”, “our”) provides vehicle detailing, reconditioning, paint correction, protection/coating, and fleet maintenance services.
2. Definitions
· Services: Any work we provide, including detailing, correction, coatings, protection, maintenance, and related add-ons.
· Vehicle: The vehicle(s) you book in.
· Service Location: Either (a) our premises (now or in future), (b) your address/site, or (c) another agreed location.
· Booking: Your confirmed appointment (date/time) and agreed scope.
· Materials: Any product or consumable purchased/allocated specifically for your booking (including coating products).
3. Service Model (Mobile and/or Premises)
3.1 We may provide Services:
· Mobile/on-site at your location; and/or
· At our premises (when applicable), by drop-off/collection or by pre-agreed collection/delivery.
3.2 The same Terms apply regardless of Service Location.
4. Quotes, Scope and Condition-Based Pricing
4.1 Prices are based on the Vehicle being in average condition for its age and type.
4.2 If the Vehicle’s condition is materially worse than described (e.g., heavy soiling, staining, excessive pet hair, biohazards, heavy tar/contamination, severe mould, excessive defects, or prior poor repairs), we will:
· explain the issue;
· agree any additional labour/costs with you before proceeding; or
· decline/stop work if the scope becomes unsafe or unreasonable within the booking window.
4.3 We do not guarantee perfection. Paint correction outcomes depend on paint type, thickness, prior repairs, and defect depth. Where appropriate, we will advise on safe limits.
5. Bookings, Deposits and Payment
5.1 A booking is confirmed only once we have written confirmation and the required deposit has been paid.
5.2 Deposit amount: A 15% deposit is required to secure your Booking.
5.3 Deposit refunds / cancellation window: If you cancel within 72 hours of your Booking start time, your 15% deposit is non-refundable.
5.4 Materials (including coatings): Where we pre-order or allocate Materials specifically for your Booking, the full Materials cost is payable and is non-refundable once ordered/allocated.
5.5 Payment timing: Unless agreed otherwise in writing, the remaining balance is due in full upon completion of the work, and in any event prior to release of the Vehicle from our custody.
6. Cancellations, Rescheduling and Missed Appointments
6.1 If you need to reschedule, contact us as early as possible. We will try to accommodate changes, subject to availability.
6.2 Missed appointments: If you miss your appointment (including the Vehicle not being present, no access, or you being unavailable at the agreed time), you acknowledge we may not be able to charge you for the missed appointment itself. However, your 15% deposit remains non-refundable (and any non-refundable Materials costs remain payable where applicable).
6.3 Mobile/on-site access issues: If we attend the Service Location and cannot start or continue due to reasons outside our control (including no access, unsafe/unsuitable conditions, lack of water/power where required, or the Vehicle not being present), we may:
· treat the Booking as a missed appointment under clause 6.2; and/or
· require a new Booking date and a new deposit to rebook.
6.4 If we must stop work because the Vehicle condition/scope is materially different from what was booked, we may charge for time spent and any Materials used/allocated.
7. Access, Working Conditions and Customer Responsibilities
7.1 You must ensure the Vehicle is available at the agreed time and that we have safe access to work.
7.2 For mobile/on-site Services, you must provide a safe working area. If conditions are unsafe (e.g., severe weather exposure, unsafe surfaces, aggressive animals, hazardous contamination, or inadequate space), we may refuse or reschedule.
7.3 You must remove valuables and personal items. We are not responsible for loss or damage to personal items left in the Vehicle.
7.4 You must disclose known issues (e.g., faulty locks, alarms, immobilisers, battery issues, leaks, aftermarket wiring, repainted panels).
8. Vehicle Handover, Keys and Test Drives
8.1 You must provide keys/access as required. If access is restricted (e.g., locked glovebox/boot), we are not responsible for incomplete work in those areas.
8.2 We do not provide courtesy cars.
8.3 We do not test drive Vehicles unless strictly necessary and agreed (e.g., to move the Vehicle safely on-site). Any movement is limited and reasonable.
9. Premises Drop-Off, Collection and Storage (Future-Proof)
9.1 Drop-off/collection: Where Services are performed at our premises, you must drop off and collect the Vehicle at the agreed times.
9.2 Overnight storage: We may store your Vehicle overnight only where the Vehicle is actively being worked on or where storage is reasonably required to complete the booked Services.
9.3 Late collection / storage fees: If the Vehicle is not collected within the agreed window (and this is not due to our fault), we may charge a reasonable storage fee per day and/or move the Vehicle to secure storage at your cost.
9.4 Abandoned Vehicles: If a Vehicle is left uncollected for an extended period, we may take reasonable steps to recover storage and unpaid charges, including debt recovery and/or disposal in accordance with applicable law.
10. Photography, Inspection and Pre-Existing Damage
10.1 We may take photos/video before, during, and after the Service for quality control, evidence of condition, and training.
10.2 You agree that pre-existing damage (chips, scratches, dents, corrosion, worn trims, failing clear coat, prior repairs) is not our responsibility.
10.3 Any concerns must be raised immediately on completion/collection (or within 24 hours where the Vehicle is collected outside normal handover), with supporting photos.
11. Risk, Liability and Limitations
11.1 We carry public liability insurance. Our liability is limited to direct loss caused by our proven negligence.
11.2 We are not liable for:
· defects that cannot be safely removed;
· paint failure, clear coat failure, or prior poor repairs revealed during correction;
· mechanical/electrical faults not caused by us;
· water ingress due to pre-existing seal issues;
· stone chips or defects that worsen due to their pre-existing nature.
11.3 Where we agree to attempt higher-risk work (e.g., stain removal, heavy contamination, adhesive removal), you accept there is a risk of incomplete improvement or cosmetic change.
12. Coatings, Protection and Maintenance Requirements
12.1 Coating durability depends on correct aftercare. We will provide maintenance guidance.
12.2 Warranties (where offered) may be void if:
· the Vehicle is not maintained as instructed;
· harsh/incorrect chemicals are used;
· automated brush washes are used;
· damage occurs from accidents, abrasion, or improper washing.
13. Weather, Delays and Force Majeure
13.1 Mobile work may be affected by weather. If conditions prevent safe or quality work, we may reschedule.
13.2 We are not liable for delays caused by events outside our reasonable control (including severe weather, supplier delays, illness, or access restrictions).
14. Marketing Use of Images
14.1 We may use images/video of your Vehicle for marketing unless you object in writing before the Service begins.
15. Data Protection
We process personal data in line with UK GDPR and applicable data protection law.
16. Changes to These Terms & Conditions
We may update or amend these Terms & Conditions from time to time.
The version that applies to your Booking will be the version in force at the time you make your Booking (or pay your deposit), unless a change is required by law or relates to administrative matters that do not materially affect your rights or our obligations.
Where a change would materially affect an existing Booking, we will notify you in advance. If you do not agree to the change, you may cancel the Booking and receive a refund of any deposit paid, subject to any non-refundable Materials costs already incurred and agreed with you in advance (for example, special-order coating products).
